This Privacy Policy describes how Bot Dynamics AI, a brand operated by Tourify FZC in partnership with Pixel Analytics LLC ("we," "us," "our"), handles information when you use our services at botdynamicsai.com, including chat widgets, voice services, and WhatsApp messaging.

1. Who We Are

Bot Dynamics AI is operated by Tourify FZC, registered in Sharjah, United Arab Emirates, in partnership with Pixel Analytics LLC, registered in New Mexico, USA. This policy applies to all services offered under the Bot Dynamics AI brand. We act as data processors on behalf of the businesses that deploy our platform.

2. Data We Collect

  • Messages: text you send via chat widgets or WhatsApp.
  • Phone numbers: used to route calls and WhatsApp communications.
  • Voice call data: calls may be recorded when enabled by the business you contacted; they will inform you.
  • Session identifiers: an anonymous browser ID to maintain conversation continuity.

We do not collect payment cards, government IDs, geolocation, or biometric data.

3. How We Use It

  • Deliver AI-powered chat and voice responses on behalf of the business you are contacting.
  • Maintain conversation context within a session.
  • Allow the business to review conversations for quality assurance.
  • Troubleshoot technical issues.

We do not use your data to train AI models or sell it to third parties.

4. WhatsApp & Meta

Messages sent via WhatsApp are delivered through the WhatsApp Business Platform API (Meta Platforms, Inc.). We process them only to generate responses for the business you contacted and do not share them beyond that business and the AI service generating the reply. We comply with the WhatsApp Business Policy. Your use of WhatsApp is also governed by Meta's Terms and Privacy Policy.

5. Service Providers

  • AI processing: Google LLC. Messages, and voice notes we transcribe, are processed by the Google Gemini API under Google's data processing terms. They are not used to train models.
  • Hosting: Hostinger International Limited, on servers located in Frankfurt, Germany (EU).
  • Messaging: Meta Platforms, Inc. for WhatsApp, Messenger and Instagram delivery.
  • Voice infrastructure: calls route through a real-time media and telephony provider.
  • Payments: Stripe, for subscription billing only. Stripe never receives conversation content.

6. Data Retention

Conversation records are kept for as long as the business you contacted uses our service, so that business can see its full history with you. Voice call recordings are deleted automatically 60 days after the call. When the business stops using our service, its conversation records are permanently deleted within 90 days, and backup copies within a further 90 days. You can ask for your data to be deleted sooner (see Your Rights). Browser session identifiers are cleared when you clear your browser data.

7. Your Rights

  • Access / Correction / Deletion: request a copy, correction, or deletion of your data.
  • Opt-out: reply STOP to any WhatsApp or SMS message, or email us.

8. EU / GDPR

Our legal bases are contract performance (delivering the service) and legitimate interests (conversation continuity and quality assurance). Servers are in the EU (Frankfurt). Cross-border transfers to sub-processors are covered by Standard Contractual Clauses.

9. Children

Our services are not directed to children under 13. We delete any such data promptly if discovered.

10. Security

We use TLS encryption, access controls, and regular security reviews. No transmission is 100% secure.

11. Government and Legal Requests

We occasionally receive requests from public authorities for user data. We apply the following practices to every such request:

  • Legality review: we review whether the request is lawful and properly issued before we respond to it.
  • Challenge: we push back on, and where necessary formally challenge, any request we consider unlawful, overbroad, or improperly issued.
  • Data minimisation: we disclose only the minimum information necessary to comply, never a broader export.
  • Documentation: we record each request, our response, the legal reasoning, and who was involved.
  • Notice: we tell the affected business about the request wherever we are legally permitted to do so.

We may update this policy at any time. The "Last updated" date at the top reflects the current version.
